Terms and Conditions
“Accommodation” mean hardstanding pitch and / or grass camping pitch, pod, Yurt, or Cabin.
“Site” means Willow Caravan Park & Willow Campsite.
“Site Rules” means the rules in force at Willow Caravan Park.
“you” or “your” means the person named in the booking confirmation.
“we”, “us”, or “our” means Willow Caravan Park, Wigginton Rd, York , YO32 2RH
Pitches
Camping Pitches
There is one area for grass camp pitches available to book online for camping. Pitches are not currently designated, however all non electric tent pitches are located around the wildlife pond on the left. Space is avaliable for tents of max 6m.
The cost of each pitch is available through our booking system, prices are set for up to 2 adults per pitch per night. We do not offer a price for solo campers. Additional adult guests can be added to pitches, maximum of four.
Our campsite is dog friendly. Dogs must be always kept on a lead.
Camping: The campsite is suitable for couples, and solo campers. We are not suitable for party groups, stag, hen or birthday parties.
Parking next to your pitch is allowed. An extra car can be booked however our tent pitches only have space for one vehicle.
Guests are not allowed to pitch on any other pitch such as the hardstanding pitches or the grass in between the long stretch of grass between hardstanding pitches 1-18 & 25-39.
Do not drive onto grass if the ground is soft as you could get stuck, please call 01904 501974 for advice.
Roof tents: we accept roof tents.
Trailer Tents: We accept trailer tents /folding campers on grass pitches.
Grass pitches – Allocated space for each booking 9-metres wide x 6-metres deep. The max unit size on this pitch is 6-metre x 5-metre + vehicle
Caravan Park
Willow Caravan Park.
39 hardstanding pitches for seasonal pitches, touring caravans, motorhomes, and campervans: Each pitch has 10 amp electric
Each pitches has Wi-Fi & each pitch has a grass area.
The 39 pitches are gravel 5-metre wide by 12-metre deep. The max unit size we accept on the hardstanding pitches is 8.5-metre x 5-metre.
Please do not place your awning on the grass, the grass is there as a 3-metre fire break between each unit.
Motor homes/Auto sleepers: are not allowed on grass – please book a hardstanding pitch.
The cost of each pitch is available through our booking system, prices are set for up to 2 adults per pitch per night. We do not offer a price for solo travellers. Additional adult guests can be booked as extra, maximum 6.
Policies
No Noise between 11pm and 7am Policy
We want our guests to have a wonderful time, on their stay with us; however, we feel that it is important that guests are not disturbed by unnecessary noise from neighbouring campers. We do not expect to hear excessive noise at any time! and we do not expect to hear any unnecessary noise between 11.00pm and 7am.
Noise must be kept to a minimum if you are leaving the site before 7am.
Some examples of noise not permitted between 11.00pm and 7am: music, loud talking, engines running, banging doors, or any avoidable noise that disturbs others between these hours.
Zero Tolerance Policy
We operate a zero-tolerance policy for individuals whose behaviour or noise causes disturbance or stress to other guests.
We have a zero-tolerance policy with regards to any of our family, employees or contractors being treated in an abusive or violent manner. ‘We’ aim to always be polite and helpful. However, aggressive behaviour, be it violent or abusive, will not be tolerated and we will ask you to leave the site.
For us to maintain good relations with our customers we ask you to read and take note of the occasional types of behaviour that would be found unacceptable:
- Any physical violence towards any of the above persons (such as pushing or shoving).
- Verbal abuse in any form including insulting any of the above persons.
- Racial abuse or sexual harassment.
- Causing damage / stealing from the park, employees, or other guests.
- 11pm no unnecessary noise applies and must be adhered too.
- The Site office, the Site Entrance & The Little Hide entrance is motored 24/7 by CCTV cameras for your safety and to watch the coming and goings of the Site.
FIRE SAFETY POLICY
You are not permitted to bring your own log burners, wood burning stoves, fireworks or Chinese lanterns as these may pose a fire risk.
Free standing barbeques may be used if elevated and if appropriate precautions are taken. WCP reserves the right to temporarily ban the use of BBQs if the fire risk is assessed as too high.
Dog Rules
We are a dog friendly site but we also want to maintain the peace and tranquillity our site has to offer. Which means we are putting in place rules that must be obeyed.
We reserve the right to amend these rules at any time due to a change in the law or other circumstances.
The guests staying are responsible for ensuring these rules are kept by them and any guest of theirs coming onto the park with a dog or other pet, invited or not.
The site management will reserve the right to refuse entry to the site for any dog or other pet that we consider to be a potential danger or nuisance to other users of the site
If you or your guest are asked to remove a dog or other pet by management you will be expected to do so with immediate effect. No refunds will be provided.
Being able to bring pets onto the site should be considered a privilege, not a right, and we will not allow someone’s pet to spoil other people’s enjoyment of the stay.
All dogs once out of the car will be kept on a short lead and be kept under proper control when walking around the site.
Maximum number of dogs per pitch is two. This is irrespective of size.
While any dog can be a nuisance or intimidating, owners of larger breeds should be sensitive to the fact others may be intimidated by or be made nervous by large dogs.
We will welcome well-domesticated and socialised dogs that are happy among strangers. If you would not trust your dog with strangers or other dogs, you should consider if your dog is suitable for the site.
There is plenty of open space on the site and most caravans/pitches can be reached without walking directly across someone else’s pitch or frontage and wherever possible, this is the path that should be taken.
Once on your pitch, if your dog is outside, it shall always be tethered to a suitable ground stake on no more than a three-metre lead in such a position that it is unable to reach a neighbouring caravan/pitch.
At no time must a dog be allowed to run loose. If you wish to allow your dog some freedom on your area then a play pen/secured off area can be used.
Dogs must never be left on site or free to roam area on their own. If you go out, the dog goes out too.
We have no dedicated dog exercise area on the site and they should be exercised off site at the nearest dog park – Golden Paws (paid) or Churchfield in Wigginton (free). Any faeces should be cleaned up immediately without exception. You should always be carrying poo bags, no excuses. Please deposit used poo bags in the provided dog waste bin, not the general bins.
Dogs can be tied up outside the toilet block, but please do not take your dog inside.
Should the management receive any complaints about nuisance misbehaviour or mistreatment of any dog or other pet on the park, the guest will be notified of the complaint and be required to remove the dog or other pet and forbidden from keeping any other dog, either their own or guests, until the situation is resolved to the satisfaction of park management.
1. Your booking
1.1. We reserve the right to accept or decline bookings entirely at our discretion.
1.2. Your contract with us will begin when we issue you with your booking confirmation. Your contract with us will be on the terms set out in these terms and conditions.
1.3. All bookings are formally confirmed when we or a third party booking provider issues you with your booking confirmation. Your booking confirmation will set out the Accommodation you have booked, the dates of your booking, the number of guests and the total amount paid for your booking. We will issue you with your booking confirmation by email.
1.4. You, as the person making the booking, will be responsible for all members of your party. You, as the person in charge of your party, must be at least 18 years old at the time of booking.
1.5. No guest under the age of 18 is allowed on the site.
1.6. We can only discuss your bookings (including any changes) with you, we cannot discuss the booking with another member of your party unless you give express consent for us to do so.
2. Paying for your accommodation
2.1. You must pay us the amount payable for your booking at the time of booking.
2.2. In the case where a balance remains unpaid twelve weeks prior to the holiday, we’ll remind you by email. If you fail to make the relevant payment within 14 days of the due date, we’ll assume you want to cancel your booking. If this happens, your booking will immediately be cancelled.
2.3. We accept card payments only.
2.4. We do not accept payment by cheque, cash or bank transfer.
3. Pricing for our accommodation
3.1. We regularly review and amend the prices we charge for our Accommodation, please check the online booking system on our website.
3.2. All prices given by telephone, on our website or in any leaflets relating to the Site are VAT exempt.
3.3 All prices given on our website or on the phone are for the Accommodation. Details of additional charges can be found on the booking page.
3.4. We reserve the right to charge for extras that may be applicable to the Accommodation.
4. If you want to cancel your booking
4.1. Your contract with us is a contract for the provision of leisure Accommodation on a specific date or dates and this means that you do not have a statutory right to change your mind and cancel the contract. We do, however, offer you the right to cancel your contract subject to the provisions of this Section.
4.2. If you wish to cancel a confirmed booking you must let us know by email (bookings@willowcaravanpark.co.uk) as soon as possible quoting your booking reference number. Your booking will be cancelled with effect from the day we receive your telephone call or email, and will be subject to the cancellation charges as set out in Section 4.3 below.
4.3. Our cancellation policy is calculated according to the time between when we receive notification from you that you wish to cancel your booking and the start of your booking. Our cancellation policy is set out in the table below:

4 .4 If you terminate your booking after the booking start date, we will not issue any refund for any remaining nights of your booking. To clarify, this includes where you cancel your booking for any reason outside of your reasonable control, including without limitation, inclement weather, and illness. Refunds will also not be given for no shows. We strongly recommend you take out comprehensive holiday insurance to compensate you in these circumstances.
5. If you want to change your booking
5.1. If you want to change any detail of your confirmed booking you must contact us by telephone, email quoting your booking reference as soon as possible. This includes details such as the number of pitches, the number of guests, any extras required.
5.2. Whilst we will do our best to accommodate you, we cannot guarantee that we will be able to meet any request for changes. Any reduction in the number of nights will be treated as a partial cancellation and cancellation charges calculated in accordance with clause 4.3 may apply.
5.3. If we do change your booking, you will be charged an administration fee of £10 (within the 14 day period) to cover the costs we incur in making the change to your booking.
5.4. If you change your booking dates, you will also be required to pay us any additional Accommodation costs due because of the change – we will confirm the amount of any additional Accommodation costs due at the time we change your booking.
6. If we need to change or cancel your booking
6.1. We do not expect to have to make changes to your booking, however sometimes problems happen, and bookings have to be changed or cancelled. We will only change or cancel your booking:
6.1.1. if necessary to perform or complete essential remedial or refurbishment works; or
6.1.2. for other reasons unforeseen at the time, you made your booking which are beyond our reasonable control. This may include occasions where the Accommodation becomes inaccessible due to a Meteorological Office Severe Weather Warning, other severe weather event, pandemic or a lockdown.
6.2. If we do need to change or cancel your booking for the reason set out in Section 6.1.1, we will do our best to offer you a suitable alternative booking. If we’re not able to offer you a suitable alternative, or if you don’t accept the alternative we offer, the booking will be deemed cancelled and we will refund you the total amount you have paid us for the booking.
6.3. If we do need to change or cancel your booking for the reasons set out in Section 6.1.1, we will not be responsible for any unforeseeable losses you suffer because of that change or cancellation.
6.4. If we do need to change or cancel your booking in line with 6.1.2 because it becomes impossible to deliver the booking due unforeseen events beyond our reasonable control, we’ll do our best to offer you a suitable alternative booking for either the same dates or alternative dates. If you don’t accept the alternative we offer, the booking will be deemed cancelled and no refund of any amounts paid will be offered.
6.5. We strongly recommend that you obtain appropriate and comprehensive travel insurance for all members of your group. This should ideally cover illness, cancellation, and injuries during your stay.
7. Special requests
7.1. Special requests must be requested at the time of booking and no later than 7 days prior to travel. Whilst we will do our best to accommodate you, we cannot guarantee that we will be able to meet any request
8. Group bookings and special events
8.1. Small group bookings can only be accepted if these are 3 or less pitches on our camping and touring site. Bookings for groups of 5 of less can be accepted only for our CAMC site, you must notified us before booking, and be approved by us at the time of booking.
8.2. The site is not suitable for stag, hen, or birthday parties.
8.4. Please ensure that you understand these rules and practical requirements before making any group booking.
9. Guest standards and behaviour.
9.1. Please ensure that you read the Site Rules carefully prior to booking and again on arrival. You must also ensure that you and your party familiarise yourselves with the layout of the Site and any fire safety arrangements.
9.2. Each Accommodation shall be at least 6 metres from any other Accommodation. In exceptional circumstances where more than one Accommodation is allowed on a pitch, they must be at least 3 metres from any other Accommodation. Please see size of pitch to fit your accommodation.
Awning on a hardstanding pitch must not encroach onto the grass to allow for the 3-metre fire break between pitches.
A tent and a car must fit inside a 9-metre area leaving a clear 3 meter between their car and the next tent.
9.3. No pegs to be buried below 150mm into the ground. Rock / strong pegs are recommended for hardstanding pitches.
9.4. You must only use the Accommodation for the purposes of your holiday. You must not use the Accommodation for any other purpose, including without limitation for any business purposes, without our prior written consent, in line with Section 8.
9.5. You must keep the Site, Accommodation, and any contents clean and tidy and leave them in the same condition as when you arrived.
9.6. You must not use the Site or Accommodation, or allow it to be used, for any dangerous, offensive, noisy, illegal, or immoral activities. You must not cause any nuisance or annoyance to any neighbours or anyone else during your stay. No one under the age of 18 should be on the Site.
9.7. You and your party must not smoke inside your Accommodation. You and your party must not use candles, tea-lights, fireworks, or Chinese lanterns at your Accommodation.
9.8. You and your party may only use a barbeque on Site if it is placed outside and raised off the ground.
9.9. Dogs are permitted on the Site. You must tell us at the time of booking if you wish to bring a dog to our site. Dogs must be kept on leads when on Site. Assistance dogs are permitted at our Sites; but you must notify us at the time of booking if you wish to bring an assistance dog with you.
9.10. Flying of drones to take pictures or videos at the Site/Accommodation is permitted but please be respectful of your fellow neighbours.
9.10. You must not charge an electric vehicle from the Accommodation
9.11. The use and storage of firearms or weapons is not permitted in any part of the Accommodation, the Site or in cars parked at the Site.
9.12. Vehicle drivers, motorcyclists and cyclists are required to adhere to a 5mph speed limit. All cycles should have appropriate lighting if used in darkness. Drivers of vehicles, including motorcycles, must hold a full and current driving licence
9.13. No children are permitted on site or in our accommodation (other than the Salix Cottages).
As we are an adult only and peaceful site, noise and lighting should be kept to a minimum between the hours of 11pm and 7am.
Our campsite team may contact you at any time during your stay to advise of any activity, obstruction or behaviour that has been brought to their attention and may be adversely affect others’ enjoyment of the site. We ask that you co-operate with their requests.
9.14. We operate a zero-tolerance policy for individuals whose behaviour or noise causes disturbance to other guests. Please note that if you do not comply with the standards and behaviours set out in this Section 9, we may need to exercise our rights under Section 14 (“Our right to evict”)
10. Maximum occupancy for your Accommodation
10.1. You must ensure that the maximum number of persons occupying the Accommodation/Site does not exceed the maximum occupancy limits set out on our website for each Accommodation/Site.
Visitors to your Accommodation is allowed from 10am but they must be over the age of 18 and We need to be notified by email prior to your stay. Visitors must be off the site by 11pm
10.3. We set maximum occupancy limits in line with the facilities, space, and equipment available and to comply with applicable health and safety, insurance, and regulatory requirements. As such, we reserve the right to require you to leave the our Accommodation and Site (without any compensation or refund) if you exceed the maximum occupancy limits as described in this Section 10.
11. Tresspassing on the Site
11.1. No trespassing on the property. The Site has CCTV 24/7 surveillance to monitor activity as well as for your security. If anyone is found on private property, we may need to exercise our rights under Section 14 (“Our right to evict”)
12. If you have a problem or complaint
12.1. We take care to ensure that our Accommodation and Sites are of a high standard. However, if you have any problems with your Accommodation or Site, please contact the Site staff immediately and give us the opportunity to resolve it.
As part of our complaint’s procedure, we will:
Treat complaints seriously and deal with them properly
Resolve complaints promptly and informally whenever possible
Learn from complaints and take action to improve our service
Ensure that complaints are treated in confidence
12.2 In considering any complaint, we’ll consider whether we have been given the opportunity to investigate it and put matters right as detailed in section 12.1.
12.3. Please note that we will not tolerate any written, verbal, or physical abuse towards any of our staff or representatives
13. Right to access
13.1. If we do need to access your Accommodation for any reason (will always be in the event of an emergency).
Applies mainly to our seasonal guests
14. Our right to evict
14.1. We may terminate our contract with you and ask you to leave your Accommodation and the Site immediately (without any compensation being payable) if:
14.1.1. we consider that you or your party have committed a serious breach of these terms and conditions;
14.1.2. we consider that your or your party’s behaviour endangers the safety of our visitors or staff;
14.1.3. any complaints are made of anti-social, abusive or unacceptable behaviour against you or your party;
14.1.4. you or your party cause an unreasonable amount of damage to the property or its contents; or
14.1.5. you exceed the maximum occupancy limit for your Site /Accommodation
15. Practical information for your stay
15.1. Your check-in and departure times will be set out in your booking confirmation. If you do not leave the Accommodation by the required departure time, we reserve the right to charge you a late checkout fee to cover any costs we incur.
15.2. If you believe you have left any of your possessions behind at your Accommodation, please contact us as soon as possible.
15.3. Willow Caravan Park is in a field, and it is important that you and your party do not interrupt or endanger wildlife on the land.
15.4. We request that wildlife are not interfered with.
15.5 Dogs must be kept on a lead on the site.
17.6 Cars parked at the Site are done so at the Owner’s risk.
16. Data protection
16.1. We will process your personal data provided as part of this activity in order to communicate with you about your booking and request feedback which will enable us to improve your future experience with us.

17. Events beyond our control
17.1. We will not be responsible for any failure to perform our obligations under these terms and conditions that is caused by an event outside our control.
17.2. An event outside our control means any act or event that is beyond our reasonable control, including without limitation severe weather event, drought, fire, explosion, storm, flood, earthquake, subsidence, pandemic, epidemic or other natural disaster, strikes or industrial action by third parties, terrorist attack or threat of terrorist attack, war or threat of war, civil commotion, riot, invasion, or failure of public or private telecommunications networks, epidemics including any form of Corona Virus, health risks and other crisis situations (“Force Majeure”).
18. Guest restrictions
18.1. We pride ourselves on being an inclusive site, and aim to provide a great experience for all (over the age of 18). To achieve a friendly atmosphere for all our guests, we reserve the right to refuse or cancel bookings (without refund) from:
1) persons under the age of 18;
2) all-adult groups including hen, stag, touring sports teams, organised groups or any other parties that disrupt other guests;
3) solo travellers, if we feel the reason for your stay isn’t in line with our focused values; or
4) gypsies and or travellers;
5) anyone else who we think might spoil things for other guests.
6) anyone who is violent, verbally abusive or aggressive to our team either before or during the stay.
We don’t knowingly allow any guest to use or visit our site who: (i) has an entry on a criminal register (including the sex offenders’ register); (ii) has any record of any order indicating antisocial behaviour, violence, abuse, public disorder, or criminal damage or any other form of antisocial behaviour; (iii) is a convicted sex offender, subject to the notification requirements of the Sexual Offences Act 2003; or (iv) is subject to a Risk of Sexual Harm Order or Child Abduction Notice. If this information becomes known to us, we reserve the right to cancel your booking or terminate your stay and require that you, and the other members of your party, leave the site, without refund.
We reserve the right to refuse caravans / vehicles / tents / vans / motorhomes or any other form of transport that we feel is inappropriate.
Reservations & reception
We have no reception on the Site, we run a self check in and all instructions are sent via email.
Reservations for making bookings are 9am until 5pm, Monday – Friday & closed bank holidays.
In the event of an emergency or to contact us outside these hours the phone will be redirectied to an on call colleague.
The Site office, the Site Entrance & The Little Hide entrance is motored 24/7 by CCTV cameras for your safety and to watch the coming and goings of the Site.
Caravan & Camping Arrival and departures
We operate a self check in and check out: –
An arrival email is sent out a couple of days before arrival. It will contain your booking details including site booked, codes if needed and information about the site.
When you arrived at the site, please make your way safely to your pitch. If there is any issue with your pitch you must contact us.
Pitches become available from 12:30pm on the day of arrival for both camping and caravan pitches. Departure day must be before 12noon. Please leave your pitch tidy.
If additional nights are required customers can place a new booking through the system.
Please Note
Guests who haven’t checkout with their vehicles by 12.30 on day of departure will be charged a late departure fee.
Facilities
4 wet rooms with toilets & showers and 2 separate toilets in each
We have an amazing team who work very hard to keep the facilties to a high level of cleanliness but, we ask that you respect the facilties and tidy up after yourself, we provide mops outside the wet rooms, to use after your shower. The cleaners do a clean daily around noon during the week, if busier on a weekend we have cleaners on site on a Saturday and Sunday Morning, from 10am, and will have another clean later on through the day.
Service point
All chemical toilets including travel toilets must be disposed of at the service point area…PLEASE DO NOT USE THE TOILET BLOCK TOILET TO DISPOSE OF TRAVEL TOILET WASTE!!! The waste water disposal is located between The Little Hide glamping site and toilet block.
Everything else you may need to know!
- Chemical toilet disposal point. Please use this for all toilet disposals.
- Laundry room including washer & tumble dryer located at the disabled toilet near the cafe.
- Hardstanding Pitches: BBQ’s must be on legs. Disposable BBQ’s are allowed but have to be off the ground.
- Grass Pitches: BBQ’s must be on legs. Disposable BBQ’s are allowed but have to be off the ground.
- BBQ’s: We allow bbq’s with legs and disposable BBQ’s as long as they are off the ground.
- Free WiFi available on hardstaning pitches and can reach various points throughout the campsite
- Gift shop for summer of 23
New gift shop open in the cafe. - Mains water taps in the centre of the site for domestic use.
- Electric points : If you have an electric pitch booked make sure any long leads or a lead on a drum is completely unravelled before you plugin into the hook-up area. Leads which are left tightly rolled up will overheat and burnout the electric hook-up and your lead and potentially causing a fire! There is a damage charge if electric points are damaged in this way
- Bins Area: The bin areas can be found next to the toilet block and at the back of the last caravans for camping. There are mixed recycling bins and general household bins. Please do not throw furniture or other large items in these! Please do not leave bags of rubbish in the pot washing area or on site for someone else to pick up and clean up after you, you are responsible for the disposal of your own and your dog’s waste! General waste only in the general waste bins and recycling only in the recycling bins.
- Dog waste: We have dog waste only bins on site, please pick and bag up your dog waste and use the bins provided. Do not put any other waste in the dog waste bins.
No smoking areas
The facilities and surrounding the facilities, are no smoking areas!
Liability
Liability is not accepted by Willow Caravan Park to any person visiting, for any personal injury, loss or damage to any property including, motor vehicles and personal effects, howsoever caused or sustained
We reserve the right to ask guests who contravene these terms and conditions or, who in any other way are behaving in a manner likely to cause distress or nuisance to other visitors, to leave the site immediately. In these circumstances the holiday ceases and we shall not be liable for any extra costs incurred by you.
We reserve the right to change or modify any of the terms and conditions contained in the Terms or any policy or guideline of the Site, at any time and in our sole discretion. Any changes or modification will be effective immediately upon posting of the revisions on the Site, and you waive any right you may have to receive specific notice of such changes or modifications. Your continued use of these Site following the posting of changes or modifications will confirm your acceptance of such changes or modifications
